Create Trade Account Balances using Credit Memos
You can now apply a Trade Account balance to any invoice by applying the payment as a Credit Memo. In order to apply barter payments to invoices you first have to receive the barter from a customer and add it as a trade request. Any of your trade can then be applied to invoices.
When a customer wants to pay for an open invoice with trade, you need to accept that trade through the trade administration area of the system. You can find trade administration under Billing > Trade Administration or from the Record Payment Page. Click on Add Trade Deposit to record your received barter.
Note
The system includes default barter types you cannot change: None Selected, Gift Card, On Account, Trade Out, and Gift Certificate (Paper), but you can add your own under Settings > Billing > Barter Types.
To use the trade as a barter payment on service or digital media items, you must select a Credit Memo Template in the popup. You also need to choose the type of barter received.
When a Credit Memo Template is used, the system will create a credit memo linked to the barter deposit in the same amount. The credit type will be the trade type selected.
After you have your credit memo template, customer, type, and amount, save your transaction. The trade account for the company will increase and you can apply the payment to an open invoice.
Once the Credit Memo for the trade deposit has been created, you can use it as a barter payment on any open invoice, including special invoices. Navigate to the Add Payments page to record your payment. You will not be using the Customer Barter Account as the payment method. Instead, for the payment method you will choose Credit Memo, and choose the Credit Memo you just created when adding your trade deposit.
Important
On the Add Payments page, the columns for Barter Agreed, Barter Received, and Barter Due are only relevant for ads that have barter set on the line item. When using a Credit Memo as the barter payment method, you will be applying the payment to the Cash Due amount, not the Barter Due.
You can see your barter Credit Memos from the Trade Administration page. Click on View Details in the Confirmed Trade Requests table to go to the Trade Account Details page. The Transaction List on this page will include any Credit Memos created through Trade Deposits, and will show the Credit Memo amount and Credit Memo number.
Click on the Credit Memo number to go to the Credit Memo page, where you can view additional details about the item.
