Aging Report Detail

Using this report will get you the detail needed for each aging invoice. This report contains more descriptive details for your finance team. It has the same internal links to view individual invoices as the Aging Report. To use this report, navigate to Reports > All Reports – Finance, or use the global search bar. If this is a report that you plan to use frequently, mark it as a favorite and add it to your Quick Links. There may also be specific permissions that you need for report access.

We recommend that you have the following set up to take full advantage of the report features:

To access the report, you need the User Permission ‘Aging Report’. This permission gives you access to the Aging Report, and the Aging Report Detail. The sub-permission to ‘View All Users’ allows you to see data for all users in your site. Without the sub-permission you can only view your own data and data of any users who report to you.

Report Search

Use the various filters to generate your desired report. The default will search by All Publishers, but you can choose a specific publisher if desired. You can also add the company, publication(s) & market. The Advanced Search option can help you narrow down the details, I.e., print & online options, Rep, Market, Agency and Invoice Dates.

  • The ‘As of Date’ search field by default gets set to the current date, but you can change this if needed. The report calculates the aging based off of the As of Date. The best way to explain this is through an example. You have an invoice that was due on 2/10 and was paid on 2/20. If you run the report with an As of Date set to 2/21, that invoice will not show up in the results, since it has been paid. If you run the report with an As of Date set to 2/15, that invoice will show up in the results, since it had not yet been paid as of 2/15.

  • The ‘Display’ field lets you choose which results you want to see. You can view results for all open invoices, or only those with open cash, or only those with open barter.

  • By default, the report will group the results by company. If you remove this checkbox, the results will be displayed in a single table, rather than individual tables for each company in the results.

  • You can choose to exclude the billing notes on the PDF if desired. Excluding the notes can make the PDF look cleaner, which can be helpful depending on what data you are trying to get from the PDF.

Report Results

This report will generate as an interactive table, similar to the Aging Report. If the results are grouped by company, there will be individual tables for each company in the results. Next to each company name, you’ll see their average payment time in days. Each record in the table shows information about the invoice.

  • Click on the company name to open their overview page.

  • Clicking on the average days will open a popup that shows some more details about where the average is coming from. In the popup, you’ll see how many payments were made, along with the minimum number of days, and the maximum.

  • Within the table, you’ll see information including invoice number, rep, which aging bucket the invoice falls into, as well as billing contact and billing notes.

    • Clicking the invoice number opens the invoice PDF.

    • The Billing Contact’s name is also a link that opens the contact’s overview page.

    • Clicking the values in the various aging buckets will open the Invoice Search page with some fields automatically filled in.

  • If the results are grouped by company, at the bottom of each company table you’ll see totals for that company’s aging. At the bottom of the report, whether grouped by company or not, you’ll see a summary table for all of the results.

  • On each record in the table, you can perform certain actions by clicking the ellipsis icon. Depending on the record type, you may be able to record a payment, email the invoice, link to the invoice search page, and view collection notes.
