Credit Card Expiration Notifications
Customers will now be notified by email when their credit card is expiring soon. This change means that fewer payments will be declined due to expired cards, and will allow your finance team to focus on more important issues than tracking down customers to get updated payment information. Depending on how you set up the new system configurations, your customers will receive periodic emails reminding them that their credit card is set to expire, and the system’s finance email will receive a list of companies and contacts that have expiring credit cards based on the same configurations. When the customer updates their credit card information, any invoices and orders that were associated with the old card will be updated as well, and the finance team will be notified.
To start sending credit card email notification, you need to first enable the configuration under Settings > System Configuration > Finance - Emails.
Before you start sending notifications, please make sure to update your system email templates. There are two email templates that go along with the credit card expiration features:
Credit Card Expiration Warning Email Sent to Customers
This template is what your customers will receive if you Enable Credit Card Expiration Notifications in your system configurations. Like all email templates, you can add and edit sub-templates, and add custom tags, personalizing the message your customers will receive. If you add the Client Center Account URL tag, your customers will get a link that will take them to their Client Center where they can update their credit card information.
Credit Cards that are Expiring
This email template is what gets sent to your system’s finance email, which is set up under Settings > System Configurations – Finance – Emails. The email contains a list of the upcoming expiring credit cards and includes the company name, the credit card owner, the last four digits of the credit card, the expiration date, and any invoices and orders that are associated with the expiring card.
With your system set up, the system can alert you and your customers of expired credit cards. When the customer goes to the My Account page and adds a new card, the system will replace the expiring card with the new card on orders or invoices.
Users can also see the status of a credit card on the company page. At any time, a user can reassign orders/invoices that have an expiring credit card.
