Mandatory Contract Line Items

On Service Products, there is the option to set up the product as a ‘mandatory contract line item’. When a product is configured this way, it cannot be manually added to orders. Instead, it will be automatically added to orders when specific contract templates are used.

Set Up

To set up a service product to use as a mandatory contract line item, go to Settings > Products > Service Products, and add or edit a service item.

  • In the add/edit popup, choose a contract template or templates to associate the product with under the Mandatory with Contract(s) field.

  • When this field is set on a product, it can no longer be manually added to orders.

Order Creation

When you have a service product set up to use as a mandatory contract line item, you can create your orders like normal.

  • On the Products tab of the order creation process, you will not see your mandatory contract line items when adding a Service item to the order, since these types of products cannot be manually added.

  • After you have created your order with your other products, you can continue through the Billing and Notes section and move on to the Review and Send step.

  • On the Review and Send tab, you are required to choose a contract template to use for your order.

    • If a template is used that is not associated with your service product, the service product will not be added to the order.

    • If a template is selected that is set on your service product, that service product will be automatically added to the order, which can be seen on your contract PDF, and if you navigate back to the Products tab of the order.

      Note

      On the Products tab, the automatically added service product will be visible, but you will be unable to edit or remove the item, since it is required for the chosen template.

  • Submit and approve your order like normal. The service product cannot be edited on fully approved orders either. If you have the User Permission ‘Delete Mandatory Contract Service Items’, then you can remove the item – otherwise it cannot be deleted.

    Note

    Due to the nature of mandatory contract line items, they cannot be used in combination with required ticket dynamic attributes that do not have required fields.
