Contract Expiration Activity Notifications
By going to Settings > Sales > Activity Categories, you can manage and create categories for your activities, such as to-dos, emails, and appointments. On this page, you’ll notice that the Expiring Contract activity category is the one category used on a system level. This category automatically creates activities for reps based on certain criteria. It will generate a new to-do for a rep when a contract is approaching its expiration.
There are two relevant system configurations for this activity category. Both can be found by going to Settings > System Configurations – Sales – Orders.
Contract Expiry Days – The number set in this configuration is how many days out the system will be looking for expiring contracts. For example, if set to 30, the system will be looking for contracts that expire 30 days from today.
Contract Expiry Days in Advance – This configuration determines how far before the contract expires to schedule the to-do for the rep. For example, if set to 7, the system will schedule a to-do for 7 days before the contract expires.
Using the two numbers above as examples, if today’s date is 8/24 and I have a contract set to expire on 9/24, the system will create a contract expiration to-do scheduled for 9/17.
Note
The Contract Expiry Days configuration should always be a larger number than the Contract Expiry Days in Advance. Otherwise, the system creates a to-do that is in the past, and the rep most likely will not see the activity.
