Aysling Payments
We are excited to announce our brand new, preferred payment gateway Aysling Payments. Using Aysling Payments, you can process both Credit Card and ACH transactions through your Ad Orbit site. To configure Aysling Payments as your payment gateway, please contact our support team. The support team will need to provide various IDs and turn on internal settings to connect your site to Aysling Payments.
Improvements
DataWarehouse and Metabase Additions
Multiple new fields were added to the DataWarehouse and Metabase this release.
SendMyAd ID, Google Ad Manager ID, AdCellerant ID, Broadstreet ID, and Salesforce IDs have been added to the Dim Order Item table.
A new Dim Pub Primary Contacts table was added which contains information about the 'Primary Contact for Publication' field.
A new Dim Pub Goal table was added which contains sales goals for publication that are not issue based. The Analytics Goals table has also been updated to include this new data and will include goals for non-issue based publications.
Email Subject and Sent Dates have been added as fields to the Email List Fact table, specifically for mail merge emails.
Xero Integration Updates
A handful of improvements were made to our Xero integration this release.
Payments can now be pulled back in from Xero to Ad Orbit if you turn on the new 'Sync payments created in Xero to Ad Orbit' setting. Payments made in Xero will be pulled in based on the invoice it is associated with, as long as the payment amount in Xero doesn't exceed the open invoice amount in Ad Orbit.
A 'Xero Exports' user permission was added which allows you to manually generate and push exports to Xero.
Tracking Categories can now be mapped on the Product Mapping page. Tracking Categories can be mapped to your Publications or Brands, the names in both systems must match in order for the information to flow to Xero. When mapped, this will provide some additional information on the invoices that are created in Xero.
An Orders export option has been added for Xero this release. Ad Orbit orders will be brought into Xero as quotes.
The Invoice ID in Xero is now being set rather than the Invoice Reference with the Ad Orbit invoice number.
The Ad Orbit Order ID is now being set as the Invoice Reference in Xero.
Special Invoices can now be pushed to Xero.
Free-Form Installment Improvements
This release, we made a few improvements to our free-form installment invoices, that add additional flexibility.
You can now choose whether notes should be required for your free-form installment invoices. Using the new Require Notes on Free-Form Invoices system configuration, you can choose if notes should be a required or optional field for your free form installments.
Line items can now be added to fully approved orders that are on free-form installment schedules, as long as there is one schedule that has not been invoiced. The total amount of the line item will be split up evenly among the remaining open schedules.
Free-form installments can now be automatically generated. To turn on this new feature, set the new Free Form Installment Invoice Generation Method configuration to 'Automatically on Schedule Invoice Date'.
Additional Improvements
All ticket pages have been moved to the new ticket page layout, and you can no longer toggle between the new view and the old, legacy view. If you have feedback on the new ticket page please submit a feature request ticket.
The Nylas integration has been updated to v3.
Many reports and email templates were updated to correctly apply the system date formatting settings.
Events can now be 'closed' from the event overview page, which marks all tickets associated with the event as closed, so the revenue can be recognized as delivered.
Ticket Statuses can now be mapped for print ads between SendMyAd and Ad Orbit. Statuses can be mapped from the SendMyAd Publisher Setup page, and any mapped statuses will update the corresponding Ad Orbit ticket when updates are pulled in either automatically or manually.
A system configuration was added this release to Use 1-15 Day and 16-30 Day aging report groups. By default, this configuration is set to No, which means on the Aging Report and Aging Detail Report, there will be a 1-30 Day aging bucket. If set to Yes, the Aging Report and Aging Detail Reports will use a 1-15 Day aging bucket, and a 16-30 Day aging bucket, rather than one 1-30 Day bucket.
A new 'Lifecycle Stage and Assigned' HubSpot sync criteria option was added this release. The new option works almost identically to the 'Lifecycle Stage' option, but adds the condition that the contact in HubSpot also needs to have an owner assigned in order to be brought in to Ad Orbit.
Previously the ability to see digital media in the Client Center was tied in to the Show Client Center Artwork system configuration. This release we split out the configuration and added a new Show Client Center Digital Media configuration, to give you more control over what your contacts can access.
Company Name and Salutation fields have been added to the Subscription Form and Subscription Form by Publication webforms.
Campaign Name can now be displayed on master invoices. If the master invoice includes multiple orders, multiple campaign names will be shown.
The Contact/Company elements on invoices now have an additional checkbox for Order Billing Contact, where the order billing contact's name can be displayed.
If a contact being brought in from HubSpot matches an email address exactly in Ad Orbit, they will no longer be brought into the HubSpot Lockbox.
The Mark New Companies Created as Exportable system configuration has been updated. The new options are Yes, No, and On Order Finance Approval. Yes means any new company created will be automatically marked for export. No means no companies will ever be automatically marked for export but can still be marked for export manually if needed. The On Order Finance Approval option means new companies will be automatically marked for export only once they have an order that is fully approved.
A new option was added to the Map Your Show settings called 'Enable Map Your Show AltID Import Matching'. When turned on, if an Ad Orbit company ID is set in the AltID field on a company in Map Your Show, those companies will be automatically connected.
If a contact in the Map Your Show Lockbox matches the email address for an Ad Orbit contact on the connected company, the contact will be automatically un-lockboxed and mapped to the Ad Orbit contact.
A Require Service Rate Card system configuration has been added this release, that is only applicable if your Require publication be specified on all service items system configuration is turned on. When turned on, you'll be required to set a rate card on each service line item.
Fixes
Searching by the Credit Memo type on the Adjustment Journal Report is now properly returning results.
The Billing Report now shows the special billing note of agencies when applicable.
Multiple bugs were fixed on the Special Invoice Report this release. The 'Invoice ID' label is now shown consistently. The columns and headers in the report export are aligning properly, and the export now shows all display fields.
The phone number fields on the Sales Rep element on contract templates are now showing the correct phone numbers.
On the order import, an error message is shown if attempting to import an inactive company using its XREF.
An error message is now shown if attempting to create a dynamic attribute when an attribute with the same name already exists.
The view details popup on the Sales Rep Activity report will now show the full email content for email types that previously only showed the subject lines.
On the line item importers, the company primary rep will be used by default if no sales rep is specified.
An error when connecting to an IMAP account has been resolved.
A bug preventing final assets from being pulled in from SendMyAd has been resolved.
Taxes are now being displayed correctly on free-form installment invoices.
QBO exports will not attempt to run if there is a connection issue with the QBO account.
A fix was made on the Company External Reporting links to prevent URLs from showing as invalid.
A Nylas error was resolved.
The bulk update GL class action on digital media searches are now using the correct classes.
The Edit Status popup on the new ticket pages are properly restricting statuses by the status user permissions.
When pushing companies to Xero, if there is no XREF, the system now looks for a matching company name before creating a new record.
Taxes have been removed from the invoice amount when pushing items to Xero.
When pushing items to GAM, we now use the Ad Orbit line item type to determine whether the item should push to GAM as a network or sponsorship item.
An issue when pushing invoices to Xero if there was bad data has been resolved.
When sending artwork reminder emails from a ticket page, the email note merge tag was not populating, which has been fixed.
Companies and invoices will not be re-flagged for export to Xero after they have been exported once.
When editing a slot product, the 'Only Sell One Size Per Date' and 'Only Sell One Position/Channel Per Date' checkboxes can now only be clicked by selecting the checkbox or the text.
Searching on the Omeda Imports page now finds results by file name.
Contacts with placeholder emails are now excluded from non-print exports to Omeda.
