Artwork Aging

The Artwork Aging Report breaks down arrived and unreceived ads by publication and sales rep. The report can quickly redirect you to the MagBuilder layout, Snapshot Report, or Missing Ads Report to get more information about the artwork.

Before using this report, we recommend you have the following set up:

To access the report, you must have the User Permission

  • To get the most out of this report, we also recommend having the User Permissions ‘Missing Ads Report’, ‘Snapshot & Consolidated Reports’, and ‘MagBuilder.’

Report Search and Results

To run the report, you simply need to select an Issue Month and Issue Year. The report will show two tables of data. The first will show artwork aging by publication, and the second will show aging by sales rep.

  • The Publication table displays each publication’s name that has an issue falling in the selected month, as well as information about the artwork for that publication. You will see the total ads for the publication, and the total ads in and total out in both number and percent formats. This table also displays the percent of ads that were in on time, as well as any open sizes from the issue layout.

    • Ads are considered ‘in’ when their ticket status is marked as ‘Ad Arrived’, or if the ticket is marked as ‘done’ and has an asset uploaded that is marked as final.

    • If the publication is print, then there will be a MagBuilder icon next to the publication name, which when clicked on will bring you to that issue’s MagBuilder layout.

    • The publication names are quick links which bring you to the Snapshot Report, with the publication and date range fields automatically filled in.

    • The Total Out column numbers are also quick links, which bring you to the Missing Ads Report, once again with the publication and date range fields automatically selected.

    • Percent In On Time column is based on the ‘Artwork Due (Hard Close) Date’ that is set on the issue. Any ads that are marked as arrived prior to the Artwork Due date will be considered ‘In On Time’.

    • The Open Sizes column displays the number of open pages based on ad size. These numbers are determined from the page sizes set on your MagBuilder layout.

  • The Sales Rep table displays each sales rep’s name that has a sale for the date range selected. This table displays all of the same aging information as the Publication table – except for the open sizes column – but broken down by rep rather than publication.

    • When the rep’s name is clicked on, the user is redirected to the Snapshot Report with the date range and rep fields automatically selected.

    • The Total Out column numbers are quick links also, which will bring you to the Missing Ads Report with the rep and date range fields already filled in.
