Call Lists
You can make call lists from the search contacts, search companies or even the search orders page. A common way to create the call is from the search contacts page. Lists are either assigned to other reps to complete, or you can keep your list to manage. The list of contacts will stay on the list until they are removed based on a completed call or you deleted them from your prospect list.
Once a call list is created, you can find the list by going to Home > My Call List. On this page, there are two tabs. One is for My Call Lists, which is where you will see your call list queue and prospect lists. The other is to Manage Call Lists. This tab allows you to view and edit all of your call lists, and with the right permissions, all of the system’s call lists.
There is some helpful terminology to be familiar with for Call Lists. Check out the list below to make navigating your call lists easier.
Not queued yet – nothing has been done with this contact yet and is waiting to be called.
Call Date – the date of the call record.
Attempts – how many attempts have been made to communicate with this person.
Skips – counts how many times a user has skipped calling the contact.
Completed – the call has been made and marked as completed.
Last Call – the date of the last call made/attempted.
Last Appt – the last scheduled appointment.
My Call Queue – randomly pulls in a contact from the call list.
My Prospect List – potential client list, the contacts need to call.
My Call Queue
If you are a sales rep, you will probably be using your call queue on a daily basis. There are a few things that are helpful to know about how to use the call queue.
Under the Actions column, you can mark a call as complete, left message, skip or delete.
Marking a call as complete or left message is similar, you will need to select a call category, put a title for all the required fields, but you can update the contact lead status, tie an opportunity to the call activity and add notes about the call.
If needed you can also create a follow-up, either a to-do, an appointment or an event.
The last thing is you could also email the contact about the call using four possible email templates you can setup beforehand and click save.
If you added a follow-up a new popup window should now be open to creating whatever type of follow up you need for this contact.
Once you have taken action on the contact, you should now see a new contact in your call queue.
My Prospect List
Your prospect list lets you flip between different call lists you are assigned to, to view all of the contacts on each list. You can perform similar actions on the prospect list as you can in your call queue. The few notable differences are that you cannot ‘skip’ a call in the prospect list, and contacts will not be removed from this list once called.
Manage Call Lists
On the Manage Call Lists tab, you can create new call lists, as well as edit and archive existing lists. The page is separated into two tables, one for your call lists, and the other for all call lists.
My Call Lists
Use the ellipsis icon to edit or archive the list. Editing the list allows you to associate a campaign or dynamic search filter with the list.
Click on the list name to open the list details. On this page, you can view and edit the contacts on the list. Depending on your permissions, you may also be able to assign users to the list, and give them a quota for how many calls they must make on that list each day.
All Call Lists
This table shows all of the call lists in your system. Depending on your permissions, you may be able to reassign these call lists to a different rep.
