Missing Ads Report

The Missing Ads Report allows you to track down all missing ads for a specific issue month and year and allows you to set your own criteria for what qualifies an ad as missing. You can view the ticket and attached files, edit notes, and send artwork reminders directly from the report. There is also a summary table at the bottom of the report which allows you to quickly view how many ads are missing for each publication.

Before using this report, we recommend you have the following set up:

Report Search and Results

To get results for this report, you only need to select an issue month and year. You can, however, choose to filter the results by various other fields including publication, rep, and probability. The ‘Ticket Status for Non-Missing Ads’ search field will automatically be populated based on your Display Fields. To change your default ticket statuses for this field, click on Edit Display Fields and choose new default statuses for non-missing ads.

  • There are two tables that will display data. The first is more detailed, and the second is a good summary of the information. Depending on your Display Fields, the first table will show data about the item that is missing, including sold date, current ticket status, publication/issue, rep, and ad size.

    • The Customer name is a quick link which will redirect you to the company’s page in the system.

    • The Notes column shows the notes added when the ticket status was changed. Sometimes this will be a system note, such as ‘New File Uploaded’ and other times it will display the notes added by the user when the status was changed. Depending on your permissions, you may be able to edit the note directly from the report by clicking on the Edit icon in the Notes column.

    • When values in the Files column are clicked on, you will either be brought to the ticket page if the file is in the ticket, or if the file is in the queue, you will be brought to the company’s artwork tab.

    • If you include probabilities below 100% in your results, then any pending sale items will be displayed highlighted in yellow.

    • There are a few actions you can take from the report. By clicking on the ticket icon, you will be redirected to the ticket page. Any items that have files in the ticket will also have a PDF icon which can be used to view the file. You are also able to send artwork notifications directly from the report by using the checkboxes and using either the Individual or Grouped E-Mail Artwork Notification actions.

  • The summary table at the bottom of the report displays the total number of missing ads for each publication that fits the search criteria.
