Consolidated Snapshot Report

The report shows all product sales in a period of time. You can use this report to track the sales value and the status of the line item for production. The report includes data for print and digital ads, services, and digital media products.

Before using this report, we recommend you have the following set up:

Report Search

The Consolidated Snapshot Report can show results as general or specific as you need, depending on how you leverage the search criteria. There are over a dozen options to narrow down your search results, including fields such as Publication, Item Type, Order Number, Product, Company, and GL Class. You can also use any of your system’s ticket, order, or company dynamic attributes as search criteria. There are also a handful of options to configure how your data is displayed, and what data is displayed.

  • Include Credits Applied: Check this option to adjust the client spend amount by any credits applied to a line item.

  • Include Financial Details: When this option is selected, additional details about the line items will be displayed, including deferred revenue. To get the most out of this search option, we recommend you have the following Display Fields selected:

    • Cash Due, Cash Booked, Cash Deferred, Cash Unbilled, Barter Booked, Barter Deferred, Barter Unbilled, Fees, and Adjustments

  • Group By Sort Order: When the ‘Sort By’ option in the Display Fields is set to either ‘Company’ or ‘Rep’, if this option is selected the line-item table results will be grouped together by Company or Rep, depending on which Sort By option is chosen.

  • Include Child Company Sales: When selected, and filtering by one or more companies, the results will include sales for all child companies, and works for multiple generations of parent-child company relationships. If left unchecked, the results will only display data for the companies searched.

Report Results

The data for this report is displayed in a table format. There are certain columns which will always show on the report, including Company, Invoiced status, Gross, Cash, and Barter values. You can use the Display Fields to include more information you would like to see in the body of the report, such as dynamic attributes, billing information, or order number.

  • The Company Names are quick links which will bring the user to the company’s page in the system.

  • There are various actions which can be taken for each item, depending on its status and your user permissions. For each ad, you may be able to edit the line item, view the ticket, or delete the item right from the report.

  • If the value in the Invoiced column is ‘yes’, then when clicked on, you will see a pop-up displaying the invoice information for that item.

  • You can bulk update ticket dynamic attributes for the items in the report by clicking the checkboxes on the left side of the table. Then click the ‘Update Additional Attributes’ action at the top of the table. In the popup, you can add the attributes you want to change. The values set in the popup will override any existing attributes on the ticket.

    Note

    You won’t see the checkboxes and be able to bulk update attributes if you are using the ‘Group By Sort Order’ option.

  • The Booked Revenue column is calculated by using the following formula: Booked Cash + Booked Barter + Unbilled Cash + Unbilled Barter - Adjustments.
