Dynamic Attributes
There are over a dozen search options for the Online Snapshot report, that allow you to get results as broad or narrow as you need. You can filter by fields such as sales rep, issue, ad size, category, ticket status, and even ticket, order, and company dynamic attributes. There are also a handful of search options that change how the results are displayed or grouped.
Net Pre-Pay: When this option is chosen, an additional column of data will display called ‘Net After Pre-Pay'. The column shows the net amount left after a pre-payment on the item, and is therefore especially useful for orders with item-level pre-pay.
Change Issue Mo/Yr Range to GL Mo/Yr: If this option is checked, the ‘Month/Yr Range’ search field will change from issue dates, to your system’s GL dates.
Group items by sort order: In the Display Fields pop-up for this report, you can choose a default sort order for your results. When the ‘group items by sort order’ option is selected, the result will be grouped into multiple tables based on your sort order. For example, if your default sort order is ‘ad size’, then when this option is chosen, there will be a table displayed for each of your ad sizes, rather than one large table of results.
Only Show Invoiced Items: By default, all ads, whether invoiced or not, will show up in the report results. You do have the choice to use this search option to only show ads that have been invoiced. Under the Invoiced column of the table, you can click on ‘yes’ which will display a pop-up showing the invoice information for that item.
Include Sales Proposal Items: The report by default only displays ad information for fully approved orders. You can override this setting by using this search option, which will display ads from both proposals, and pending orders. Any pending order items will show up in blue, and any ads from proposals will display in yellow so they can be easily identified.
The data for this report is displayed in a table format. There are certain columns which will always show on the report, including items such as status, company, publication/issue, ad size, and files. You can use the Display Fields to include more information you would like to see in the body of the report, such as dynamic attributes, billing information, or order number.
The data in the Company, Artwork Contact, and Files columns are all quick links which will bring you to various locations in the system, including company or contact page, and ticket.
There are various actions which can be taken for each item, depending on its status and your user permissions. For each ad, you may be able to edit the line item, view the ticket, or delete the item right from the report.
Status: The ticket’s statuses will show up in this column. Depending on your user permissions, you may be able to edit the ticket’s status directly from the report by clicking on the ‘edit’ button. You can also choose to include notes with your status update.
Invoiced: If the value in the Invoiced column is ‘yes’, then when clicked on, you will see a pop-up displaying the invoice information for that item.
Order > Note: Clicking on the PDF icon in this column will bring you directly to that item’s order PDF. If there is either an Ad Note, or an Order Note present, there will be an additional note icon. When clicked on, you will be able to see any available order or ad notes for that item.
Units Used: You may be able to enter a value for the digital units used by clicking on the number in this column. The payment information will be updated accordingly when the report is re-run. For example, if you sold 10000 impressions but only delivered 8000, your customer will get a bill for 8000.
URL: You are able to enter or edit the URL for the ad directly from the report by clicking on the icon in this column. The ticket will be updated with the new information.
At the bottom of the report, there is also a summary table, along with a bar chart which breaks down the sales by site.
The summary table shows the available and sold inventory of each frequency type, for each issue that falls within your search criteria. You can edit the Display Fields to change which frequency types you would like to see. The table also shows an average unit price, as well as total cash and total barter. If you toggle the table to see the ad size detail, you can see the inventory further broken down for each of the frequency types based on ad size.
Note
If there is no inventory set, then you will see the infinity symbol, which means that there is unlimited availability.
The Sales by Site bar chart breaks down the report results by digital publication. It will show all of the publications that fall within your search criteria, and display the cash sales made to each publication.
