Adding Print Ad Line Items to Orders

Now that you have your system set up and have reviewed the configuration. We will go through the process of adding a print line item. A print line item can also get added to any order or proposal.

  • Add a print line item to any proposal or order screen by going to the Product step and click Add Print Ad.

  • You will get a pop-up for the print line item. Select a publication. After your publication is selected, the rate card field will populate with all active rate cards associated with your publication.

  • Now you need to add the details for your print ad item.

    • Ad Size: Pulls from the rate card options.

  • Optional fields:

    • Sections: Use to help organize your ads, and for easier placement in MagBuilder. Customers often create special rate cards for sections.

    • Color: Can be used for additional details and targeting, and can affect the price.

    • Position: Can be used for additional details and targeting, and can affect the price. You can also restrict inventory for print sales by position. For example, it is very common to set up an Inside Front Cover or Back Cover position.

    • Grouping: Allows you to group items together on the order to show things with a single price. Can also help with invoicing.

    • Upgrade from Size: You may want to give a customer a larger size for the smaller size price. You may make this adjustment closer to the production deadline if you have space to fill.

    • Placement Notes: Internal notes only that the production team will see regarding the ad.

    • Ad Notes: Notes you can display to the customer on the template, or in reporting.

    • Associate with Event: Only relevant if you use events. When selected, the item will show up in the event as a sponsorship sale.

    Tip

    You can make Position and Placement notes required.

After your order details are in place, you can move on to scheduling.

Scheduling
  • After the publication is selected, you will see a list of available issues to select. Every issue selected will create a line item and could affect the pricing by triggering a frequency discount.

  • A recurring field is an option if you want the system to keep adding the same line item to the order once it is about to expire. For example, if your customer wants to run the same ad every month for a period of time or indefinitely, you can set the item to recur.

Pricing
  • How much you can discount and what discount you can add, all depend on your system configurations and your permissions. Please review our discounting documentation to understand all options.

  • The discount and charged applied are based on the line item price. You may have five line items on an order, but the discounts are based on what each line item costs. You can see the total for all the line items below the pricing section.

  • All pricing fields do work together. For example, if you enter a percentage discount, it will change the discount amount and net price. Pick your preferred discounting method and enjoy!
