Set up your Allocation Levels
When using our project module, the Allocation Report is a great resource. It shows a visual representation of each user’s availability, with a different color for each 10% booked. Greens and yellows mean they have a lot of available time, whereas oranges and reds mean the user is booked or overbooked. If, however, you want to change the colors for each level, or change the percentages booked in each level – for instance, you only want a 0-50% level and a 50-100% level – you can go to the Allocation Levels setup page.
To start, go to Settings > Projects > Allocation Levels. To access this page, you must have the ‘Project Setup’ user permission.
Use the ellipsis icon to edit or delete allocation levels.
Note
If you delete the lowest allocation level, no color will be tied to any allocation below the next level. For example, if you delete all of the allocation levels below 20%, then any allocation under 20% will not be highlighted on the Allocation Report. If you delete any other allocation level, the level below it will incorporate the deleted amounts. For example, if you delete the 40-49% range, then your 30-39% range will change to be 30-49%.
When editing an allocation level, you can give it a name, choose a new color, or change the percentage.
Note
The number that you enter for the level is the starting percent for that level. For example, if you enter 35%, the range for that allocation level will be 35% - the start of the next level.
Tip
Don’t like the colors or levels that you set? Simply delete every allocation level, and the page will be automatically reset to the system defaults.
The levels and colors that you set up on the Allocation Levels page will be reflected on the Allocation Report.
