Adjustment Journal
This report can be used to review various adjustment types, from refunds, voids, credit memos, account credits, to bad debt and fees. There are various uses to this report: rep accountability, back up documentation for reporting, reconciling the books, and budgeting purposes. To use this report, navigate to Reports > All Reports – Finance, or use the global search bar. If this is a report that you plan to use frequently, mark it as a favorite and add it to your Quick Links. There may also be specific permissions that you need for report access.
We recommend that you have the following set up in your system:
Report Search
The basic search gives you the option to search by Company Name, Amount, Invoice #, Payment dates and Rep. Use the various filters to narrow your search. Utilize the Advanced Search which allows further filtering down to the publication and issue, payment, as well as invoice dates. If needed.
Using the ‘Show Summary’ checkbox is similar to when you see the ‘Generate PDF’ option on reports. When you select this option, there will be an additional action called ‘Show Adjustment Summary’ when the report is run.
Report Results
This report will be displayed in a table format from which you can generate a PDF Document or export to a CSV file. Each record includes data about the adjustment, including the method (such as credit memo or credit card refund), invoice numbers, and amounts. Every few records, you’ll see a Total column that reflects the total adjusted amount for that adjustment method and day. For instance, you may see a ‘Total for Credit Memo on 2/21’ row.
If you checked the ‘Show Summary’ search option, you can view a summary popup by clicking on ‘Show Adjustment Summary’ at the top of the table. The summary shows the total amounts for each adjustment method based on your report results. This popup can be exported.
