Project Billing

Project Billing allows you to create invoices based on the clients terms, help view profitability of contract projects, and make sure your team is getting utilized correctly. Your teams hours and project managers work will drive accurate and transparent delivery and invoicing. You can bill projects based on hours, completions percentage, fixed rate, or based on an agreed upon schedule.

  • Assign a salary to a user to track labor costs.

  • Set up Service Billing Groups to create a billing plan and communicate to your customers on the contract.

  • Give your project manager the ability to set the completion of tasks and projects to trigger invoices

  • View all billable items from the Project Billing tab

Project Billing Setup

Prior to actually doing the billing for your projects, there are a few items you’ll need in place.

  • First, you will want to review your Service Billing Groups by navigating to Settings > Billing > Service Billing Groups. Here, when adding or editing a Service Billing Group, you can set Special Billing Instructions for the group, including T&M Billing, and % Complete Billing. You can also leave this field set to ‘None’, in which case any service products that use this group would be billed regularly.

  • Then, you should review your Service Products, by navigating to Settings > Products > Service Products. When editing or adding a service product, there are two fields you should pay special attention to when setting up your products for Project Billing.

    • Billing Group: You can set a default Service Billing Group on the product. You can always change this billing group when adding or editing the line item on the order, this just sets a default.

    • Partial Invoicing: This field specifies whether the item will be billed over several invoices. If you leave this field as ‘No Partial Invoicing’, then you can create the invoice as you normally would but note you will not be able to partially invoice the item. If you set one of the other Partial Invoicing types, then you will not be able to create the invoices for those items from the regular Create Invoices page, instead you will need to create those invoices from the ‘Add Partial Invoice’ page.

      Note

      If you are planning to use a % Complete Billing Group, it is recommended that you use one of the partial invoicing options.

  • Once your Service Billing Groups and Service Products are configured, you can begin selling those products and create projects based on your orders.

Project Creation

  • No matter how you choose to bill your project, you first need to create an order with service items on it. Then, you will need to create a project based on that order. Navigate to Projects > Projects and click Add Project. Choose the company you would like the project to be for and select the desired order. You will also need to set the project type as ‘Billable.’

    • This will generate a ‘skeleton’ project with tasks and milestones based on the service items on the order. Each milestone will be associated with a specific service ticket and will have only one task created for it.

    • On the Milestones tab of the project, if you click on the milestone, it will display its associated service ticket and task.

      Note

      If you are editing an existing project, you will not be able to associate a specific order with the project. Instead, you will need to create milestones and edit them, and attach each milestone to a service ticket.
