Projects Report
The Projects Report displays overview, hour, and billing and expense data for each project. Graphics at the top show you high level breakdowns of your project data, and links in the report allow you to easily navigate to other locations in the site to find more detailed information about your expenses or labor costs. Use this report to track your project profitability.
Before using this report, we recommend you have the following set up:
To access the report, you must have the User Permission ‘Access Projects Report.’
Report Search
There are a handful of search fields you can use to narrow down the results for this report, including company, project name, project type, date range, and project dynamic attributes. You also have the option of including or excluding archived projects from the results.
When using the date range filter, an additional column will be added to the report for ‘Period Actual Hours.’ This column shows the number of hours worked for the project within the timeframe chosen. This search field does not affect other numbers in the report.
Report Results
There are two graphs at the top of the report that display overview information for the search. The gauge graph displays a breakdown of your project hours. The green section represents worked hours, the yellow is for budgeted hours, and the red section is there in case your projects go over their budgeted hours.
The chart on the right side is a visual representation of your project costs, expenses, and billing. Distinct colors are displayed for different items such as labor cost or expenses. Hovering over a color on the bar shows the total value associated with that item. The graph also displays a line for your project’s expected services. This is the total of the billed and unbilled services, so you can track how your billing is compared to your project costs.
Underneath the graphs is a table which breaks down the data into more detailed information. Each row in the table shows the data for a single project. There is a project overview and hours data displayed for each record, as well as billing and expense information. For each project, you can see the associated company (when applicable), and project manager. The company and project names are quick links which will bring you to the company or project overview page in the system.
Project Hours
Budgeted Hours: The Budgeted Hours are calculated based on the hours set for your tasks. When you add or edit tasks on your projects, you can enter a value in the Hours field for how long you expect the task to take. For each project, your Budgeted Hours column is calculated by adding together all your task hours. Clicking on the value in this column will bring you to the Project Hours Report, with the project and date range automatically filled in.
Worked Hours: The Worked Hours column is determined by the number of hours users have recorded to their timesheets for the project tasks. When you click on the number in this column, you will see a pop-up which will break down the hours recorded by the user.
Remaining Hours: The Remaining Hours are simply the Budgeted Hours minus the Worked Hours. If your team has gone over in their project hours, a negative value will show up here.
Period Actual Hours: If you choose to use a date range when searching this report, you will see an additional column called Period Actual Hours. All of the other columns show the ‘totals’ for each task’s hours – for example, the Worked Hours column will always display the total number of hours recorded to the task, it is not restricted by any date range. The Period Actual Hours column is what allows you to see the recorded hours for a task within a certain time frame. For instance, you may see a Worked Hours value of 5 hours, but when you search for a specific week, there are only 2 hours recorded for that task. Clicking on the number in this column will prompt a pop-up which breaks down the hours recorded by the user.
Project Billing and Expenses
Labor Cost: If a user has a compensation record in the system, then when they record hours for a project task on their timesheet, their hourly rate and recorded hours are used to calculate project labor costs. The Labor Costs column totals the labor costs for each user assigned to the project. If you have access to the Work Effort Cost Report, then you can click on the values in this column and be redirected to that report, with search criteria automatically filled in.
Vendor Labor Cost: Similar to the Labor Cost field, when a vendor contact is set on a project with a billing rate set on a task, and they record hours to that task, you will see values show up in the Vendor Labor Cost field.
Hard Cost: Hard costs display PO line-item values for purchase orders that are tied to the project. Clicking on a value in this column will redirect you to the PO Line-Item Report, where you can view additional details about the cost.
Expenses: Any expense items on expense sheets for the project will be totaled in this column. If you have the necessary permissions, you can view expense items in more depth by clicking on the value in this column, which will route you to the Expense Sheet Report. Similar information can be seen on the Project’s Expenses tab.
Unbilled Services: The Unbilled Services column is calculated by adding up all the billable service items on the project that have not been invoiced. Clicking on a value in this column will open the project’s Billing tab, so you can quickly create your invoices for the project.
Billed Services: The Billed Services column is calculated by adding up all the billable service items on the project, only once they have been invoiced. For more information about project billing, click here. Click on a value in this column to open the invoice search, with the project automatically selected as a search criteria. This allows you to see all invoices created that are tied to your project.
Profit: The profit column is calculated by totaling all billed services on the project, minus any project expenses. The value in this column is a link which will redirect you to the project metrics tab.
