Assigning Reps to Accounts

Users tied to a company are considered reps. While a company can only have one primary rep, a company can have an unlimited number of secondary reps. The significant difference between the two is the primary rep does have more control if you restrict what reps can do on accounts, and if the system must choose a rep to display, it will default to the primary rep.

  • Reps are assigned to start through the import process. Every company must have a primary rep to be a valid company, but you can add secondary reps at the same time.

  • You can change reps on the account by going to the company overview page and clicking edit on the rep container or using the Perform an Action drop-down. You can add secondary reps or change the primary rep. You cannot leave the primary rep blank.

    Note

    If you assign a primary rep, you can also choose to make the rep the owner of all the contacts and give the new rep all of the future commissions by using the checkboxes below the rep selections. These are only relevant when changing the primary rep.

  • You may want to assign more reps in a more efficient manner than one by one. There are a few different ways to accomplish this goal.

  • Company Search:

    • Use the company search to find all the companies that you want to assign more secondary reps. Use the checkboxes to choose the companies you want to update. Use the Update Selected Companies and Assign Secondary Rep trigger.

    • Export all the companies from the search you want to update. You can use the Append Reps importer to assign reps based on the ID of the company. This method may be faster if you want to update all the companies or large amounts.

  • Sales Rep Assignment Report:

    • The report allows you to find companies based on different criteria and rep. You can use the report to find all secondary or primary reps. For example, you may want to find all accounts with no sales so you can reassign them quickly.

    • Choose the companies you want to update and use the assign rep actions. You will need to choose the new rep to replace the current rep.

    • You will get the choice to assign future commissions to the rep as well as the contact overview.

    Tip

    If you are going to terminate a rep, we recommend you first use this report to assign all accounts and then terminate the rep. You have more flexibility assigning accounts to an active rep than a terminated rep.

  • Terminating a rep will require you to assign all clients at that time. You will only have the option to choose a single rep to take over all accounts. As mentioned above, if you want to assign a terminated rep's accounts to multiple reps, use the Sales Rep Assignment Report. We do provide a link to that report when terminating a rep.
