Submitting and Approving Timesheets
The timesheet approval page gives users the ability to view submitted timesheets, approve and reject timesheets, and add comments for the submitter. Users can approve and reject timesheets for vendors and other system users based on their permission settings in the site.
Actions to approve or undo approvals for timesheets will only show if the user has permission.
To turn on the permission to approve timesheets for a user, follow the steps below:
Navigate to Settings > Users > User Setup for the User Configuration page.
Type in the name of the user you’d like to edit permissions for into the name fields and click Search.
Click on the user's name or go to the ellipsis icon next to the user's name and select Edit Permissions (key icon) to edit their permissions.
In the menu on the left, click on HR under Permissions. Check the box next to “Approve Timesheets”and click Save.
Users with the Approve Timesheetspermission can approve, reject, and undo approval for submitted timesheets.
Navigate to HR > Approved Timesheets for the Search Timesheets page.
Approval is done by row. When a row is accepted, a popup appears to add a comment along with two action buttons: Approve or Cancel.
When a user’s or a vendor’s timesheet is approved, the system will send a confirmation email.
Users with the permission can also undo approved timesheets. If a user accepts a row and then realizes they made an error, they can undo the approval for the row. When a user’s or a vendor’s timesheet approval is undone, the system will send an email notifying them that their timesheet is no longer approved.
Users can also reject submitted timesheets. When a user’s or a vendor’s timesheet is rejected, the system will send an email notifying them that their timesheet has been rejected.
The Timesheet Report in the system will only show approved hours. A user can filter the report by project, vendor, and vendor contacts. Results can also be filtered by status: Approved, Opened, and Rejected.
