Improvements
Map Your Show FTP Processing
When using the Map Your Show integration, there is an option to manually upload CSVs of data to be brought into Ad Orbit from Map Your Show. This release, we made an improvement so that this process of bringing in files from Map Your Show can be automated. If you wish to enable this, set the new system configuration 'Enable Map Your Show FTP Import' to Yes, and enter your FTP credentials on the Settings > Integrations > Map Your Show page.
When set up, Ad Orbit will grab the daily FTP file from the Map Your Show FTP server and process the files as many times as necessary in order to import the data.
There is a new 'CSVs' tab on the Map Your Show Lockbox page that shows files that have been processed this way.
Omeda Improvements
A handful of improvements were made to our Omeda integration in this month's release.
If a subscription ID is included in the FTP import, the record will be updated based on that field. If there is no subscription ID included, the record will be updated based on contact ID. If neither of those fields are set, then the record will be found based on email address.
An additional Publication ID field is now included as a column header.
Custom naming is now supported for Omeda import files. To set up custom naming, you can go to Settings > Integrations > Omeda > Setup, and enter Name Overrides for your Import Header Mapping columns.
Exclude Publications from Automated Artwork Reminders
Previously, if automated print or digital artwork reminders were enabled on the system configuration level, automated reminders would get sent for every publication in your system. This release, we made an improvement so you can pick and choose which of your publications automated artwork reminders should be sent for.
If you wish to disable automated artwork reminders for a publication, go to Settings > Products > Publication & Issue setup, and edit the desired publication.
Set the new 'Allow Automated Reminders' field to 'Disable Notifications' and save your changes. By default, this field is set to 'Allow Notifications', which means automated artwork reminders will be sent for the publication if it's enabled on the system configuration level.
Subscription Updates
Multiple improvements were made to our Subscription module this release, particularly to improve comp subscriptions and digital editions.
A new system configuration has been added to 'Allow Only Comp Subscriptions'. When turned off, you can create both comp and paid subscriptions in your site. If turned on, you will only be able to create comp subscriptions.
There is a new checkbox on the Owned Subscriptions and Gifted Subscriptions tables on the Subscriptions tab for contacts. If left unchecked, you will see any active subscriptions. If checked, the table will switch to display any subscriptions that are either expired or are deleted.
The statuses that display on these tables have also been updated for clarity. 'Approved' subscriptions are those that are a valid subscription, and are either not expired, or has expired, or was cancelled by an Ad Orbit user. 'Undeliverable' subscriptions are those with bad physical or email addresses. 'Opt-Out' subscriptions are those where the subscriber has opted out and can either be expired or not expired.
With the permission to delete subscriptions, there is a new 'delete' action on the Subscriptions table for contacts to streamline the process. There was also a 'reinstate' action added to reverse the delete.
Print subscriptions can now be bulk updated to the Digital Edition medium. This action is visible on the Subscription search page, if searching for a specific publication, and that publication has the 'Digital Edition' field set to yes. All subscriptions selected to bulk 'Convert to Digital Edition' will cancel the original subscription, and create a new, nearly identical subscription, using the Digital Edition medium instead. The new subscriptions will not have an end date specified. If a subscription has been invoiced, it will be skipped over in the bulk update. Additionally, if a subscriber already has a digital edition subscription for the publication being updated, that record will be skipped as well.
Digital Edition subscriptions are no longer included in comp subscription inventory counts.
A new user permission has been added to 'Edit Running Subscriptions'. If you had the 'Add/Edit Subscriptions' user permission, you will have this new permission by default. The permission allows you to edit subscriptions whose start dates are in the past. Without this permission, you can edit any subscription as long as its start date is in the future.
Additional Improvements
In various places throughout the site, the 'formerly Twitter' label has been removed from the 'X' fields to reflect the new branding.
Expected Creatives and their associated counts are now a display field on all Digital Media product search pages and exports.
Additional actions were added to the Activity Search page to make it consistent with the company and contact Activity tabs. The new actions include: Edit Email, View Activity Email, View Analytics, and View Opportunity.
When creating a company from the HubSpot lockbox, you can now click 'Cancel' and it will redirect you back to the lockbox.
A 'Contact Push Criteria' field has been added to the HubSpot Setup page. If set to the 'Subscribed to Marketing List' option, any contacts who have new marketing list subscriptions created will automatically be sent to HubSpot.
Event job tickets have been updated to use the new ticket layout.
Ticket automation workflows are now able to recognize when a file is uploaded through the Client Center anonymously.
The Chat GPT model, which we use for Astro, has been updated to GPT 4 Omni. This should cause no functional changes.
The performance and loading times on the Add Payments page have been improved.
A new system configuration has been added to Enable Automated Collection Removal. In last month's release, we updated the Enable Automated Collection Updates system configuration to also remove companies from collections when applicable. This release, we broke that configuration out into two, which gives you more control over your automated collection updates.
When using Intacct as your format for GL Exports, invoice fees will now be split from invoice amounts, rather than showing as a single record.
Fixes
When a disabled channel and size combination is re-enabled on a slot product, there were duplicate channels and sizes being created. This has been resolved, so re-enabling disabled channels and sizes on slot products will not cause duplicates to be created.
On the Invoice search page, the Billing Notes column now correctly reflects agency billing notes when applicable for regular invoices.
The email script will no longer crash if an email comes into the database without a subject line.
An error when syncing assets to SendMyAd has been resolved.
When leaving the Sales Rep field blank on the Special Invoice importer, it will not be automatically set to the primary company rep.
External ticket notification emails are now properly being sent when the 'ready to deliver' action is clicked from the ellipsis action dropdown on the asset.
Errors when viewing tickets associated with deleted line items have been resolved.
An error when creating a new user and assigning a Sales Approver has been fixed.
The correct image thumbnails are now being show in the 'Use Asset from Related Ticket' popup.
MagBuilder items with sizes less than 1.0 page are no longer being displayed as ancillary.
An error when cloning a pending order to a different company has been fixed.
Multiple security improvements were made to the login process.
HubSpot lockbox notifications are now included in the bell icon notification count.
When using the HubSpot lockbox, the required company address validation is now properly disabled, since it will be reviewed in the lockbox.
An error when auto-pushing updates to HubSpot has been fixed.
When using the 'Forgot Password' option in the Client Center, disabled contacts will be ignored, and the email will only be sent to active contacts.
The folder limit has been increased for Nylas from 300 to 800.
The 'send immediately' configuration has been disabled specifically for Scheduled Emails, which ensure they are not sent until their scheduled time.
When the 'Require publication to be selected on all services' system configuration is turned off, services were being un-selected in the Add Service Line Item popup after choosing a publication. This has been fixed.
An error on the Consolidated Production report preventing results from being shown has been resolved.
When reassigning tickets on the legacy ticket view, ticket dynamic attributes were being removed. This bug has been fixed so the attributes will stay selected.
A typo was fixed in the Event (Start) Date tooltip on the Service line item add/edit popup.
Many back-end fixes were made this release as we continue our transition to PHP 8.
