New

Contact List Owners

There is a new ability to assign owners to Contact Lists within Ad Orbit. Along with this change, there were a few improvements made.

  • New search fields have been added to the Contact Lists page. These include List Name, List Owner, List Type, and Campaign.

  • A new user permission 'View All and Assign Contact Lists' has been added. With the permission, you can view all contact lists in your site, and can reassign lists to different owners. Without the permission, you can view any list without a specified user, or lists owned by you or users who report to you.

  • By default, any new list that gets created will be assigned to the user who created it.

Slot Product Channel Dependencies

A new 'Blocker for Slot Channels' field has been added to digital channels. If the 'blocker' channel is sold, any of the other channels that the channel blocks will be unavailable for that product, date, and size. For example, if you have a Leaderboard channel, and a Main Page channel, and you set up the Main Page channel to block your Leaderboard channel, if the Main Page item is sold, your Leaderboard channel will automatically be set as unavailable for that date and size.

Improvements

Bulk Ticket Ungrouping

Previously, tickets that were grouped on an order had to be removed from the group on an individual basis. This release we've added a quicker way to ungroup tickets if needed. If a ticket group exists on an order, there will be an additional action in the ellipses icon on the order, called 'Bulk Un-group Tickets'. This action opens a new popup where you can select all tickets you wish to ungroup.

  • An ungroup action has also been added to the new ticket page under the Actions menu, and is visible if the ticket you are viewing is part of a ticket group.

Relative Date Filters on Reports

This improvement was a highly requested item at the 2023 Fall Forum! We have added new 'relative' date filters to various reports this release, and plan on extending this to more locations in future releases. On the Consolidated Sales, Consolidated Snapshot, Consolidated Production, Digital Media Production, and Production reports, you'll now notice a new and improved date selector. You can choose from date ranges such as Last Quarter, Next Month, and This Year. Or, you can enter a custom date range.

HubSpot Updates

A handful of items were improved with the HubSpot integration this release.

  • New columns were added to the HubSpot Contact and Company Mapping fields, including Last Call, Last Email, Last Appointment, Last Note, Last Activity, and Digital Media Revenue.

  • Companies can now be manually pushed to HubSpot from Ad Order from the Company Overview pages.

  • The type-specific revenue fields are now YTD.

  • When a contact is pulled in from HubSpot, if there is a matching contact and company in both HubSpot and Ad Orbit, the company will now automatically be connected.

Improved Dynamic Attribute Display

Multiple improvements were made on dynamic attributes this month.

  • Pinned company dynamic attributes are now site-wide for each user, rather than for each company like the other pin-able fields.

  • The dynamic attributes displayed on the Company and Contact Overview pages are now searchable, by clicking the magnifying glass icon in the Additional Details box.

  • The character limit on dynamic attribute values were increased from 2048 to 4096. This has been applied to the DataWarehouse limit as well.

  • When creating new Order level dynamic attributes, they will be set to disabled by default on the My Preferences - Order Display page.

New Ticket Page Additions

This release, we made a few improvements to the new ticket pages, including the following.

  • Grouped ticket information is now included.

  • An ad size specs display field was added for digital media items.

  • An edit icon was added to the 'Ticket Details' header, making it easier to access the edit ticket popup.

Astro Mail Merge Changes

Thanks largely to your feedback, we are continuing to make improvements to our Astro AI integration. This release, we changed how Astro works with Mail Merge emails. Previously, you could use the Astro prompt and template fields when creating a mail merge email. Now, that functionality has been moved, so rather than using Astro when generating Mail Merge emails, you can instead use Astro to create your Mail Merge email templates. With Astro enabled, you can see the new fields when creating or editing your Mail Merge templates.

Omeda Updates

Our team made a few updates to the Omeda integration this release.

  • A configuration has been added to 'Exclude Print Subscribers on Digital Export'. When turned on, if a subscriber has a print subscription for an Omeda input ID, they would not be included in the digital subscription export for the same Omeda input ID.

  • Plan ID and Plan Name columns have been removed from the split export files. They are still included in the non-split export file.

  • The formatting of various column headers has been updated to use spaces rather than underscores.

  • A problem exporting street address information has been fixed.

Additional Improvements

  • A SendMyAd URL can now be included in the grouped artwork reminder emails.

  • A new **Include Client Center Upload Links in Reminder Emails** system configuration has been added to determine whether to include the anonymous artwork upload link in the artwork list merge tag on artwork reminder emails.

  • If Cake Mode is enabled in the internal configurations, this will be denoted on importers that it applies to.

  • New Ticket Owner Name, and Ticket Owner Email merge tags were added to the artwork reminder system email templates.

  • A new Event Line Item importer was added this release.

  • A new 'source' column was added to the NetSuite GL export, and the column headers are no longer in all capital letters.

  • Delivery Solution ticket contacts can now be edited in bulk by opening the Edit Order popup and setting a Delivery Solution Ticket Contact.

  • Task Name and Task Participant search fields have been added to the Projects search page.

  • Order Rep has been added as a column to the invoice export when additional fields are included.

  • Publication and Issue(s) search filters have been added to the Open Tickets widget. Along with this change, new Publication and Issue(s) search fields have been added to some of the ticket search pages.

  • The Order Rep search filter on the Order Search page is now a multi-select.

  • New fields were added to the DataWarehouse and Metabase, including a Dead/Active field on the Dim Rep table, Order ID on the Analytics Invoices tab.e, Owner ID on the Dim Email List table, and CSR Item Name on the Analytics Sales table.

  • A tooltip was added to the Rep field on the Payments Recorded search page.

  • Ad Orbit has been updated to PHP 8.

Fixes

  • The Exhibit webform has been removed.

  • PDFs can no longer be generated for expense sheets containing over 50 items.

  • The invalid phone number format message will no longer be displayed when a phone number is removed.

  • The Gross field is now sorting properly on the Add Invoice search page.

  • When changing the uploaded file during an import, there's a new option to Auto-Map the columns. This occurs automatically when the file is initially uploaded, now it can be easily done if changes are made to the file and it is re-uploaded.

  • Subscription plans set up to renew to a different plan are no longer visible on webforms that do not accept payment information.

  • The formatting of the 'Last Call' column on the Company Search page no longer breaks as you scroll down in the table.

  • The quicklinks on the Aging Report Detail PDF have been removed.

  • Article due date reminders are no longer being sent for editorial tickets that are marked as done, or editorials that have been deleted.

  • A display issue on the Forecast Detail report where cloned pending orders were attributed to an incorrect rep has been resolved.

  • Distribution Location maps are now properly loading.

  • Deleted pending line items are now correctly accounted for on the Lost Sales Report.

  • The email sent date is now being used rather than the email created date on the Sales Rep Activity widget.

  • When creating events, you can no longer set an event start date after the event end date.

  • Incomplete proposal items are no longer being included in the Digital Calendar widget.

  • The Flash Sales Report is now showing correct data for the last date included when on the Daily view.

  • An error when filtering by the Invoice Date End search field on the Aging Report has been fixed.

  • Imported payments can no longer be applied to deleted invoices.

  • The 'In Collections' message has been updated on Company Overview pages to give more information about what being in collections means.

  • When using the 'reply to' feature on an email, the email signatures are now placed in the correct location in the email.

  • Sales reps are now being shown correctly on the Gap to Close report when filtered by publication, and the rep only has forecast items.

  • The 'Invoices' box in the client center now correctly reflects the number of invoices a client has.

  • The ticket search pages now properly find tickets based on the keyword entered.

  • On the Recorded Payments page, filtering by Publication will no longer return results from other publications associated with the same bank account.

  • Saved, scheduled Sales Rep Activity reports are now being sent correctly.

  • The performance was improved on the Sales Rep Goal Metrics - Gap to Close report.

  • When a line item had been paid with a fee, there was a bug preventing the line item from being edited. This has been resolved.

  • The Forecast Detail Report no longer shows results based on the user's timezone.

  • Various importer field descriptions included 'MagHub'. These have been updated to say 'Ad Orbit'.

  • Astro user permissions will no longer be shown unless the Astro module is enabled.

  • An error caused by invalid dates on the Subscription Importer has been fixed.

  • The loading time has improved on the Packages setup page.

  • An error when anonymously approving orders has been fixed.

  • The inventory type can no longer be changed for event product categories.

  • An error when editing contact details within the client center has been resolved.

  • A scrolling problem on the Slot Inventory widget has been fixed.

  • The Activity Search page is now finding results properly when searching by the activity notes field.

  • An HTML display problem was fixed on tickets.

  • Service tickets no longer use the default digital ticket assignment system configuration.

  • The memory has been increased on the background Aging and Aging Detail Reports.

  • A bug preventing imported line items from being used on projects correctly has been resolved.

  • The edit line item popup has been fixed for digital media project milestones.

  • A typo on the surcharge invoice description has been fixed.

  • An error when paying an invoice with a surcharge through the client center has been resolved.

  • A bug when downloading assets from a ticket has been fixed.

  • Unapproved Autodrafts will no longer be sent unless 'include unapproved drafts' is specifically set.

  • Scheduled Autodraft emails are now getting their statuses updated correctly when they are sent.

  • Moving payments were causing companies to show incorrectly on the Aging reports. This has been updated to account for moved payments.

  • A bug when adding multiple surcharges to MapYourShow orders has been fixed.
