New
'Replied To' Tracking and Actions
In this month's release, we added the ability to track whether an email has been replied to by a contact. To take advantage of this new feature, you must be tracking sent emails as activities.
If a contact replied to an email that was tracked as an activity, when Viewing Analytics for that email, you'll see 'Yes' highlighted in green under the 'Replied To' column.
For easier tracking of these items, we created a new page that can be accessed from the My Preferences - Email Configuration page. When you click on the new 'View Activities Imported' link you can see all email activities that have been created using the connected email, and view which items have been replied to.
In Drip Campaign automation workflows, there is a new condition for If/Then Branch actions called 'Email Replied To'. If a contact replies to the mail merge email sent in the workflow, they will be directed down the 'yes' side of the branch.
You can now respond to emails tracked as activities directly from Ad Orbit. When viewing an email recorded as an activity, you'll see a new action to 'Reply'.
There are new Inventory Groups available for Slot digital media products. The setup of these groups is the same as other Inventory Groups, but functionally will work differently. Unlike other product types, Slot product inventory groups will be influenced by whether or not the products have channels and sizes, as well as if you restrict the group to one size or one channel per date.
To help support this change, we also added two new options to individual Slot Products, one to 'Only Allow One Size Per Date', and one to 'Only Allow One Position/Channel Per Date'. When these settings are enabled, if a slot item is sold, the other channels or sizes for that product or that group for the other channel and size configurations may be marked as unavailable.
When one item is sold in a group, no other products in the same group will be able to be sold for that same date, channel, and size.
Sender for Invoice Emails
A new system configuration 'Invoice Emails Sender' has been added this release, that allows you to specify who invoice emails should be sent from. By default, this configuration is set to the AR Email, but you can change it to Order Rep or User.
You can now take advantage of our AI Astro in Mail Merge emails. To do this, you need the new User Permission 'Astro Mail Merge', and the 'Astro Prompt' merge tag needs to be included in your Mail Merge email templates. With these items set up, when generating a Mail Merge, you'll see an additional Astro Prompt field. Astro will generate content and place it into the 'Astro Prompt' merge tag based on the prompt information you enter.
Improvements
SendMyAd Improvements
We are continuing to make improvements to our SendMyAd integration. The following are all the changes we've made in this month's release.
When creating issues in SendMyAd using the 'Mass Sync' option, the Cover Date is now getting set properly.
When using the 'Mass Sync' feature on the SendMyAd setup page, you will now see a popup that shows you the results of the Mass Sync, including items that synced successfully and those that were not able to sync.
SendMyAd setup pages now show page titles.
When an asset is pulled into Ad Orbit from SendMyAd, the ticket status will be automatically set to 'Ad Arrived'.
Order ID has been added to the Export History for SendMyAd items.
Emails will no longer be sent each time a line item is synced with SendMyAd.
Opportunity Updates
When creating Forecast items on an Opportunity, there's a new option to 'Seed Opportunity with Previous Sales'. When selected, you can specify a date range to create new forecast items for based on the sold items found in that date range. You can also restrict these items by publication or order rep.
We also made a few visual improvements to Opportunities, including changing the Action dropdown, and automatically selecting fields if there is only one available option.
Delivery Solution Improvements
This release, we made some small improvements to how Delivery Solution service products work.
Delivery solutions can no longer be sold past their material due date by default, unless you have the new User Permission 'Sell Delivery Solutions Past Material Date'.
A few labels were updated:
The 'Classification' field on the service line item popup has been changed to 'Classification Filter'.
The 'Ticket Contact' field on Delivery Solution tickets is now called 'Material Contact'.
'Created By' on Delivery Solution tickets is now labeled 'Order Rep'.
On the ticket page, there are new fields for Classification, Publication, Due Date, Campaign Name, Net Value, and Internal Notes. These fields will be hidden if they are blank.
Autodraft Updates
Rather than sending an email for each autodraft email generated, we now send 'daily digest' emails that contain information about which drafts were generated, as well as by who, and if there were any errors.
Sent Autodraft emails are now recorded on the contact record as an activity.
A few language updates were made on the Autodrafts 'view contacts' page, to make the status of each draft more clear.
The actions available on the Autodrafts 'view contacts' page have been added to the Autodrafts summary page. We also added schedule information to the Autodrafts table.
Activity category can now be selected when adding a contact list to an Autodraft.
Other Improvements
Our GAM integration has been updated to work with GAM's newest update.
New 'Sales Tax Write-Off' and 'Wire Transfer Fee Write-Off' credit types have been added to credit memos, and a new 'Wire Transfer Fee Credit' option has been added as a payment method.
This release we've added a 'cake mode' for Print and Digital Ad historical order imports, making this process easier. When cake mode is enabled, the system will automatically create items and fill in gaps on the imported files when necessary.
Over the next few releases, we will be moving away from our third-party system that allowed us to create system-wide announcements, and instead using an internal solution. This update should not cause any functional differences.
We've removed the password autocomplete notifications on the customer portal login pages.
New contract expiration timeframes were added this release, including 1 day, 2 day, 7 day, and 14 day options. There's also a new configuration to 'Revert Expired Contracts to Incomplete State', which when set to yes will move orders back to an incomplete order and will need to be re-submitted for approval.
This release we cleaned up a few of the Data Export System Configurations and made them simpler. The 'Use Omeda Incremental Publication Subscription Export', 'Incremental Contact List Exports', and 'User Simple Omeda Digital Media Export' configurations have all been removed and grouped under the 'Export Contact List Format' and 'Export Publication Subscription Format' configurations. The options under both of those configurations have been updated to include the new removed configurations.
Inactive users can now be seen on the Aging and Aging Detail Reports.
Sales information for child companies can now be included in the Consolidated Sales and Consolidated Snapshot Reports, if the new checkbox 'Include Child Company Sales' is selected.
Opt-out information is now visible from multiple locations throughout the system. A display field for 'Opt-Out' has been added to the Contact Search, the Email Campaigns page, and the Contact Overview. We also added an 'Opted-Out' search field on the Contact Search, which will find contacts who have opted out of all promotional emails.
Search filters have been added to the Generate Exports page, allowing users to more easily find export files.
'Sales in Delivery Date Range' and 'No Sales in Delivery Date Range' search filters have been added to the Contact and Company searches.
Additional options were added to the Date Range Selectors.
An internal configuration has been added to allow pushing company addresses into QBO's Shipping Address fields.
Invoice ID, Invoice Date, and Invoice Due Date fields have been added to the Billing Report. If there are split or installment invoices, the ID field will display 'various'.
You can now specify a QBO Tax Rate when editing or adding a company in Ad Orbit. The tax rate set will be brought into QBO when the company is exported.
When creating a service line item, if the Event Date is specified first, the Due Date field will automatically be set to the Event Date, and can be edited as needed from there.
A Publisher filter has been added to the Consolidated Sales, Consolidated Snapshot, and Annual Client Spend Reports.
A Ticket Owner search field and display field has been added to the Consolidated Snapshot Report.
There is a new 'Show Deleted' option on the Payments table on the Company Billing tab.
Fixes
The Company, Vendor Contact, and Dynamic Attribute search fields are now working properly on the Projects Report.
The Notes field on ticket assignment emails is now showing the correct information for digital media and service items.
Cloned ad tickets are now using the correct description rather than copying the description of the original ticket.
Invoice Notes were not displaying on the Invoice PDF Preview the first time it was generated. This bug has been fixed.
The Android and iOS apps have been updated.
Order level special billing notes will now display properly on installment invoices.
Users will now see a notification if editing a user's permissions that will cause them to be removed from their User Role.
A formatting issue on ticket pages has been fixed.
Digital media goals are now showing up properly on the Forecast Summary Report.
A few label updates were made on the My Preferences Email Configuration page to make the settings more clear.
Terminated users will no longer receive saved, scheduled report emails.
The Project Billing Report can now be saved.
System generated Expiring Contract activities now include the Order ID.
When an email is scheduled or sending in Autodrafts, you can no longer perform actions on the draft.
When mass syncing items to SendMyAd, the issue Reporting Date will be used if no other dates are specified.
Page level action menus can now open upwards instead of always opening downward.
The Expected Close requirement is now applied properly when creating opportunities from approved orders.
The tooltips on the Consolidated Sales report now open to the left rather than the right.
The 'Change Status of Tickets, Allow Assigning of Tickets' user permission has been split into two individual permissions.
An error when un-selecting a publication with only one reserved item on the line item add/edit popup has been fixed.
Dynamic attributes can now be saved properly if there were less than 16 attributes set to show on line items.
Omeda FTP exports are no longer dependent on having the system default FTP exports enabled.
Only split files will now be FTP'd to Omeda, and deleted subscriptions will only be included in Omeda exports when they are set to 'Incremental CSV'.
Comp subscription counts no longer include subscriptions for inactive subscribers, or inactive contacts.
Artwork merge tags are now working properly on digital media artwork reminders.
Service statuses can now be edited when Delivery Solutions are not enabled.
An error when connecting to Google Drive has been resolved.
Inactive line items will no longer be included when seeding forecasts from previous sales.
The Service Production Report was incorrectly using digital media ticket statuses in the 'Current Status' dropdown. This has been fixed so it now uses service ticket statuses.
An error on the Consolidated Production related to the Ticket URL export column has been fixed.
The Service Net column is now displaying on the Order Approval and Order Search pages when digital media is not enabled.
A display issue in the Document Manager has been resolved.
The material contact field when editing Delivery Solution tickets will still be available if the order is edited and an agency is added or removed.
The values set in the Assignment & Notification fields on a publication will no longer be removed when performing the SendMyAd mass sync.
A formatting problem on Autodraft emails has been fixed.
For the time being, automatically updated Autodraft subject lines has been removed. Currently, the subject will be whatever is specified on the draft.
Itemized Delivery Solution service line items can now be added to orders.
A data issue causing incorrect ad sizes to show on the Slot Product search page has been fixed. There were also duplicate position/channel and size combinations that were removed.
A SendMyAd error when creating a service item without a publication has been fixed.
Forecast items can now be added to opportunities when there is only one available option for both the Pipeline and Opportunity Owner fields.
Incorrect values on the 'Created Contract Value' widget on the Company Summary tab have been fixed.
Special invoices for deleted orders synced with Map Your Show will no longer be synced twice.
