Notify a Project Manager of Task That go Over Hours

You have the ability to alert a project manager when a user enters hours above the allotted amount set on a project task. Users will still be able to enter hours on their timesheet that will go over the task hours, but they will be required to enter a note as to why they are going over, and the project manager can then determine how to handle the hours.

  • This notification is set on an individual project level, which allows you to choose which projects you want task overage notifications on. When adding or editing a project, under the Notification Preferences section, check the option ‘Enable Task Overage Notifications’ to set up the notifications.

  • When a user attempts to go over on hours, for any project that has the notifications enabled, they will see a popup notifying them that they must enter notes in order to save their timesheet hours. Users will see this notification whether they are adding time directly to their timesheet, or from the timer.

    Note

The project manager will not receive the same popup if they go over on task hours.

  • An email will be sent to the project manager, notifying them of which task has gone over and by how many hours, as well as the user that submitted the hours and the date. The email also includes the notes entered by the user. The project manager can then determine the next steps for the hour overage.
