Assign Participants to a Project

If you are the project manager, an admin on the project, or have the ‘Edit All Projects’ user permission, you can add individual users or a user group to projects. Users added to a project can view, update, and add their time. If you are not using Allocation, you can add participants to any project using the following steps.

  • To assign participants to a new project, navigate to the Project page and click Add Project. On the Project Creation page, you can add individual users, user groups, and contacts under the Participants & Contacts section.

  • Add the remaining desired information for the project and click Save.

  • After you create a project, you can go to the participant area on the project Overview tab and use the ellipsis icon to choose Edit or Add/Remove Participants.

  • Add/Remove Participants allows you to add an entire user group, individual users, or contacts. To add a participant, type in the participant's name in the Users field in the popup and then click Save. There is a drop-down menu to select available User Groups and also fields to add Contacts and Vendor Contacts.

  • To remove a participant, select Add/Remove Participants from the ellipsis icon, click the red "x" icon to delete the participant's name from the desired field in the popup, and then click Save. To remove a user group, use the drop-down menu to uncheck the group(s) you want to remove and click Save.

  • Once you add a new participant, you can then add them to project discussions and tasks.

  • The Edit participant's action allows you to change the user’s role and task assignment(s).

  • First, you must click on the user and then you will see their role and assigned tasks. If the participant has a Project Member or Read-Only role, then you can also remove the participant from the project here.

    • The Project Admin role gives the participant complete control over the project, the Project Member role restricts users to editing the status and completion of tasks they are assigned to, they cannot perform any other actions on the project, but can view all of the information.
